What is each tool built for?
Ziflow’s unit of work is the file. A file gets uploaded as a proof, reviewers mark it up, decisions route through workflow stages, the proof lands as approved. The viewer handles Adobe native files (AI, PSD, INDD), video and audio comments down to the second, animated GIFs, HTML5 banners, live website review at any resolution, static site snapshots. Reviewers are unlimited and free on every plan, and a paid license is only required to create and manage proofs. Ziflow’s own site organizes its use cases around packaging, print, video production and digital advertising, which tells you where the depth sits.
LaunchSign’s unit of work is the campaign. A brief lands: six emails, two SMS, a WhatsApp template, a promo landing page, all sequenced. You lay them out on one screen in the order the customer will receive them. Each piece of content then carries its own route through production (copy, design, build, QA) with a named owner on every step, followed by internal review, then client review, then a single sign-off on the campaign as a whole. Nothing gets marked ready to implement until every piece has cleared.
Put differently: Ziflow answers “is this file approved?” The campaign question is “is Q4 Retention ready to launch, and what is blocking it?” Those look similar in a demo and diverge badly at week three.
Worth being clear about one thing: Ziflow does offer campaign-level reviews across multiple assets. It sits on the Enterprise tier. On Free, Standard and Pro, proofs live in folders.

When is LaunchSign the better choice?
The campaign is the thing you are managing.Nine pieces of content, sequenced, with dependencies between them. In a proofing tool that is nine proofs plus a spreadsheet plus a Slack thread, and the spreadsheet is where the truth lives. When the campaign itself is the screen you open, the state is the interface: what’s in copy, what’s waiting on the client, what’s done.
Your reviewers are looking at emails, and browsers lie about emails.A proofing viewer shows your HTML the way Chrome renders it. Gmail clips messages over 102KB, Outlook renders with Word’s engine, Apple Mail dark mode inverts your background. LaunchSign renders each email across a curated set of real inboxes and keeps those previews next to the version being reviewed, so QA and client approval happen against the same evidence. For email teams that removes a separate testing subscription and one full round trip: catch the broken Outlook table before the client sees it, not after they approve it.
You need visibility before there is anything to proof. Proofing starts when a file exists. Most delays happen earlier: copy stuck with a writer who got reassigned, the HTML build blocked because the hero image never arrived. An owner on every production step surfaces that on day two instead of day nine.
Your team grows in odd shapes. Flat pricing with unlimited seats behaves differently from user packs of 5 when you add three freelancers for a Q4 push and drop them in January.
You need sign-off traceability without proofing overhead. An agency needs a defensible record that Maria at the client approved the 20% discount subject line on July 14 at 17:48. When is Ziflow the better choice?
You proof video, print or packaging at volume. Frame-accurate comments on MP4 and MOV, color separation, native INDD and AI files. LaunchSign does none of that and has no plan to. If half your review load is a 60-second spot and a folding carton, this comparison is already over.
You run compliance reviews in a regulated industry. Electronic signatures, extra authentication for external reviewers, single sign-on via SAML 2.0, automated user provisioning, IP allowlisting, lifetime history, satellite and trusted accounts. Pharma, healthcare and financial services teams need that specific list, and Ziflow has it on Enterprise.
Your unit of work genuinely is the file. A creative team pushing 400 unrelated proofs a month through folders, intake forms and bulk uploads is running a review queue, not campaigns. A proofing tool is the right shape for that.
