What are the best Filestage alternatives for marketing teams in 2026?

The six strongest are Ziflow, LaunchSign, PageProof, Approval Studio, Frame.io and Asana. The question that decides this category is not which tool has better markup: it is whether your unit of work is a file or a campaign.

Is your unit of work a file or a campaign?

Filestage organises work as projects containing files, and so do four of the five alternatives here. That holds up until the thing you are accountable for is the promotion. A June newsletter is not a file: it is four emails, two SMS, one WhatsApp template and a landing page, each at a different production stage, all blocked by one client decision.

Model A: proofing tools

The file is the unit of work

bf-email-v3.htmlApproved
bf-email-variant-b.htmlChanges
bf-sms-1.txtIn review
bf-sms-2.txtNot sent

One promotion, seven review threads, seven statuses, no view of the whole. Nobody can answer “is Black Friday approved?” without opening seven tabs.

Model B: campaign production

How does each Filestage alternative compare?

What each is genuinely good at, and where it stops.

01

Ziflow

$199/mo · Standard

Best forAgencies and in-house creative teams pushing high file volume across many formats through legal and brand review.

Is Ziflow a stronger fit than Filestage?

Online proofing built for high file volume and many formats, with review routing configured as workflow stages. Free covers 2 users, 2 GB and 60 days of history. Standard is $199/month billed annually with 15 users, 1 TB and 2 workflow stages; Pro is $329/month with 20 users, 2 TB, 3 stages and a one-year audit trail.

The two things campaign teams want most sit at the top: multi-asset, campaign-level reviews and electronic signatures are both Enterprise-only, and workflow stages cap at 3 below that. Fuller breakdown in our Ziflow alternatives guide.

Strengths

  • Highest file volume across the most formats
  • 15 seats on the entry paid tier
  • One-year audit trail on Pro

Limits

  • Multi-asset campaign reviews are Enterprise-only
  • Workflow stages cap at 3 below Enterprise
  • Electronic signatures gated to Enterprise

02

LaunchSign

See pricing · 30-day Pro trial

Best forAgency or in-house teams whose unit of work is a multichannel campaign (email, SMS, WhatsApp and landing pages) waiting on one client or committee decision.

Where does LaunchSign fit?

Campaign approval software that covers the whole campaign between the brief and the platform you send from, not only the review of individual files. The campaign is laid out on a visual journey; each asset moves through its own production stages (copy, design, QA) with one named owner per stage; and the whole thing waits on one client decision. Guest reviewers work through a link with no account and never count as paid seats.

A test send from your email platform arrives at a dedicated LaunchSign address and lands as a versioned asset, so what gets previewed and approved is the build that platform will actually send, rendered across 100+ clients including dark mode. Every per-asset verdict rolls up into one campaign-level sign-off with an append-only record of who decided what. Free is €0 for 1 seat and 3 active campaigns; Pro is €199/month with unlimited seats and campaigns. More in our guide to campaign approval software and the head-to-head with Filestage.

Strengths

  • The campaign, not the file, is the unit of work
  • Per-asset production and review roll up to one sign-off
  • Pre-send test renders across 100+ clients and devices
  • Guests free on every plan, never a paid seat

What it is not

  • Does not send, and no SFMC, HubSpot, Braze or Klaviyo integration
  • Annotation is narrower than Ziflow's or PageProof's
  • Nothing for print, packaging or video

03

PageProof

$249/mo · Team

Best forRegulated and print-heavy work (packaging, pharma, retail catalogues) that needs proofing instruments inside the viewer.

Who should choose PageProof over Filestage?

Online proofing with checking instruments built into the viewer: barcode scanner, link scanner, colour separation preview, spell check, contrast check. It charges flat per team, not per user: Team is $249/month, Team Plus $399, Enterprise quoted, all with unlimited reviewers, proofs and storage, which removes the seat-bundle problem entirely.

The compliance features you would buy it for are gated hard: digital signing, private team comments and full audit export all sit on Enterprise, and checklist templates run 2 on Team, 10 on Team Plus. Our PageProof comparison weighs it against LaunchSign asset by asset.

Strengths

  • Deepest inspection instruments on this list
  • Flat pricing, unlimited seats and storage
  • No seat-bundle problem

Limits

  • Digital signing and audit export are Enterprise-only
  • Two checklist templates on Team
  • Highest entry price here

04

Approval Studio

$65/mo · Lite

Best forTeams of 5 to 15 that want real proofing at a flat rate without a four-figure annual commitment.

When does Approval Studio make sense?

Flat-rate proofing and lightweight project management for small creative teams, with artwork tools (four compare modes, colour separation, barcode reader) included from the entry plan. Lite is $65/month for 5 users and 5 GB; Pro is $179/month; Pro XL is $330/month for 15 users and 30 GB, the first plan where workflow automation is included rather than an add-on.

5 GB on both Lite and Pro is tight for video or layered artwork, and selling workflow automation as an add-on on the two cheapest plans puts the routing logic behind a paywall exactly where budget is tightest. It is also a smaller vendor than Ziflow or Filestage, which matters if procurement asks about SOC 2.

Strengths

  • Artwork comparison tools included from the entry plan
  • Lowest flat rate on this list
  • Reviewing stays free through a link

Limits

  • 5 GB is tight for video or layered artwork
  • Workflow automation is an add-on on the cheap plans
  • Smaller vendor for SOC 2 / procurement questions

05

Frame.io

$15/user/mo · Pro

Best forVideo-first teams who already live in Premiere Pro or After Effects and need frame-accurate review.

Should video teams use Frame.io instead?

Adobe’s review and collaboration platform for media, built around frame-accurate comments, version stacks and Camera to Cloud. It is priced per seat: Free covers 2 members, 2 GB and 2 projects; Pro is $15/member/month for up to 5; Team is $25/member/month for up to 15 and adds internal comments; Enterprise is quoted. External clients review through Share links with no account.

Internal comments, which separate the “this headline is weak” conversation from the client-facing thread, only arrive on Team. Every plan below Enterprise gets one workspace, awkward for an agency running eight clients, and there is no formal approval chain: you get comments and a status, not a routed sign-off.

Strengths

  • Frame-accurate review built for video
  • Camera to Cloud and version stacks
  • Account-free client Share links

Limits

  • Internal comments only from the Team plan
  • One workspace below Enterprise
  • No routed approval chain, only comments and a status

06

Asana

$24.99/user/mo · Advanced

Best forTeams that already own Asana and need only a decision field on work they are already tracking there.

Can you just use Asana instead of buying a proofing tool?

Asana can run approvals if you already pay for it, but proofing and approval workflows start on the Advanced plan. Personal is free for 2 users; Starter is $10.99/user/month billed annually; Advanced is $24.99/user/month billed annually and is the first tier with proofing and approvals. External collaborators are free and unlimited on paid plans.

Annotation is limited to designs and PDFs, so an HTML email gets reviewed as a screenshot. There is no version comparison, no reviewer-group routing and no exportable approval record. For a ten-person team, Advanced runs $2,999 a year, real money for approvals bolted onto a task tracker. Full trade-offs in running client approvals in Asana or Monday.

Strengths

  • Nothing new to buy if you already run Asana
  • Approvals live next to the task they belong to
  • External collaborators free on paid plans

Limits

  • Proofing only from Advanced ($24.99/user/mo)
  • HTML email is reviewed as a screenshot
  • No version compare, routing or audit export; guests need a login

How do you choose between them?

Pick by unit of work first, then by format, then by price. If what gets approved is a campaign, a file-level tool sits one level below the question you are asking.

  1. What is your unit of work, a file or a campaign?

If your status meetings are about files, Ziflow, PageProof, Approval Studio or Frame.io will do. If they are about a promotion (email, SMS, WhatsApp and a landing page on one send date), a file-level tool sits one level below the question you are asking.

  2. Which format keeps breaking your process?

Video points to Frame.io. Print and packaging point to PageProof. High volume across many formats points to Ziflow. HTML email and landing pages narrow the field faster than most buyers expect.

  3. How many reviewer groups or stages do you actually run?

Copywriter, brand, legal, client is four. Filestage caps groups at 2 on Starter and 3 on Business; Ziflow stages cap at 3 below Enterprise. Count them before you pick a tier.

  4. Who consumes a paid seat?

Five of the six give account-free reviewer links; Asana’s guests need a login. The cost difference is internal: 5 on Approval Studio Lite, 10 on Filestage, 15 on Ziflow Standard, per-seat on Frame.io and Asana.

  5. What has to be provable in six months?

If a client can dispute what they approved, you need decision records with names and timestamps, not a comment thread: a defensible approval process. Check the tier: Business on Filestage, Enterprise on PageProof, included on LaunchSign’s paid plan.

Common questions.

Is there a free Filestage alternative?

Yes. Ziflow, LaunchSign, Approval Studio and Frame.io all publish a permanent free tier, and all four are narrow: 2 users and 60 days of history on Ziflow, 1 seat and 3 active campaigns on LaunchSign, 1 active file on Approval Studio, 2 members and 2 projects on Frame.io. Free tiers are for evaluating a tool, not for running a client account.

Which Filestage alternative is best for agencies?

It depends on what blocks you. Volume of files across formats, Ziflow. Print or packaging artwork, PageProof. A client who owes you a decision on a whole campaign when you cannot show them one place where every asset stands, LaunchSign. Check the workspace model too: Frame.io gives one workspace below Enterprise, which forces client separation into folders.

Do reviewers need an account in these tools?

No, in five of the six. Ziflow, LaunchSign, PageProof, Approval Studio and Frame.io all let external reviewers comment and decide through a link without signing up, and none of them counts those reviewers as paid seats. Asana's free guests do require an Asana login.

Do any of these send the campaign?

No. None of the six executes campaigns or connects to a sending platform. Ziflow, PageProof, Approval Studio and Frame.io stop at the approved file; LaunchSign stops at the approved campaign, and reaches the email in the first place through a test send from your email platform to a LaunchSign address. Someone still builds and schedules the send in Salesforce Marketing Cloud, HubSpot, Braze, Klaviyo or whatever you use.

See where your campaigns actually stall.
